Web Registration Procedures and Policies

Procedures

1. Prepare for your advising appointment:

a. Review the graduation requirements, including General Education requirements and any majors and minors you are pursuing, in the Bellarmine University Catalog or other official documents given to you by your advisor.

b. Review a copy of your unofficial transcript to refresh your memory about the classes you have already completed. Also, verify that credits from any other institutions have been recorded properly. You may only obtain a copy of your unofficial transcript in person at the Registrar’s Office (please bring your photo ID).

c. Obtain a blank Registration Worksheet from the Registrar’s Office website. Complete the worksheet by listing your first choice classes as well as any alternates. See FAQs on the Registrar’s Office website for more information about alternates.

2. Determine your registration “Time Ticket”

Login to MyBellarmine to view your registration “time ticket” assignment; this is the precise date and time that you may begin to register. Mark your calendar with this information so that you can plan to register as close to the opening of your time ticket as reasonably possible. Time ticket assignments will be available to view on MyBellarmine for Spring 2010 on October 16, 2009.

3. Check your Hold status

If you suspect you might have a financial hold, check with the Bursar’s Office (452-8264) to determine your hold status. Bursar’s Office holds will prevent you from registering until the hold is lifted. Check your hold status in plenty of time to clear any that will restrict you.

4. Obtain approval from your Advisor

Arrange an advising appointment with your advisor. Present your completed Registration Worksheet to your advisor for his/her approval. Upon completion of your appointment, your advisor must complete two actions: 1) he/ she must login to their own MyBellarmine account and grant you registration clearance for Spring 2010 and 2) he/she must sign your registration worksheet. Web registration will not work for you without electronic clearance granted by your advisor. The signature on the registration worksheet will serve as proof of your advisor’s approval in the event that you need registration help from the Registrar’s Office.

5. Register for classes

When your time ticket opens, login to MyBellarmine, click on the [Student] tab, then the (Registration) link. You will see a box entitled Holds and Advising Survey. If you have any holds that will prevent you from registering, they will be marked as an Absolute Registration Hold. If your hold status is clear or listed as Informational only, proceed with completing the advising survey. The survey is mandatory and must be completed before you begin registering. Next, click the Add/Drop Courses link to begin the registration process. Remember to enter the correct Term and Program for registration. Have your registration worksheet with you when you register; it will help remind you what your advisor has approved and will also facilitate the entry of your course selections into the registration screen. 6. Print a copy of your Class Schedule

If you wish, print a copy of your schedule for your records. Your advisor will automatically receive a copy of your registration via email. If your registration is complete and you do not need further assistance, keep your signed worksheet in your files for your reference; you do not need to turn it in.

7. Need additional help?

b. Contact the Registrar’s Office directly for registration assistance. During registration, the preferred way to contact us is in person at the Registrar’s Office window, Horrigan Hall room 205. You may also call us directly at 502.452.8133.

Policies

1. Web Registration Eligibility

All eligible students must register on the web. Advisors no longer have the ability to enter registrations. To be eligible for web registration, students must be:

a. Currently registered for Fall 2009;

b. Seeking their first Bellarmine undergraduate degree, or MSN or Master of Arts in Communication degree;

c. Either full-time or part-time;

d. Planning to graduate in a semester other than Spring 2010.

2. Time Ticket Policies

a. Students register by classification graduate students first, seniors before juniors, juniors before sophomores,etc., as outlined on the academic calendar. Seniors are defined as 90 or more completed credits, juniors have completed 60-89 credits, sophomores have completed 30-59 credits, and freshmen have less than 30 completed credits.

b. Within each classification, students are assigned a specific time ticket. The time ticket is the precise date and time that registration opens for each individual student.

c. Time ticket assignment is done in order to control the volume of traffic on the MyBellarmine server. All students cannot login in at the same time; time tickets assign students to reasonably sized groups that can be handled by the server.

d. Time tickets are assigned by a randomly generated computer program.

e. Students whose time tickets open while in class are strongly advised to wait until after class to register. Instructors are not obligated to honor registration as a valid excused absence.

f. Students who think their time tickets should be assigned to a higher classification should check the number of cumulative earned credits on their Bellarmine transcript. For further questions, contact the Registrar’s Office.

3. Advisor Approval Policies

a. Students must have advisor approval to register. The electronic version of advisor approval is when he or she grants “registration clearance” for their advisee. Students must obtain electronic clearance only from their official advisor. Students must contact their advisor directly if clearance has not been granted.

b. Advisor information can be viewed by students on MyBellarmine. Only the student’s official assigned advisor can grant registration clearance. For questions about advisors, contact the Academic Resource Center (ARC) at 502.452.8071.

c. Students must also obtain their advisor’s signature on their registration worksheet. In the event that registration assistance is needed, the Registrar’s Office will require proof of the advisor’s approval; this signature will provide that proof.

d. Students with more than one official advisor may go to either advisor for electronic clearance and a signature on the worksheet. Exception: Secondary Education teacher licensure candidates must work with both a major advisor and an Education advisor prior to registration.

e. If extenuating circumstances prevent a student from obtaining advisor approval (electronic clearance or signed worksheet), he/she may request a signature on the registration worksheet from the department chair of their major, the academic dean of their school, or a professional advisor in the ARC. Approval from any of these parties is at their discretion. Once a signature is obtained on the worksheet, the student may bring it to the Registrar’s Office for assistance. The Registrar’s Office will only register students with a valid signature.

4. Registration Changes

a. Once a student’s time ticket is open, it will remain open through the day before spring term begins. This will allow students to make any necessary changes to their own schedule.

b. Changes made by students will automatically be emailed to their advisors. Advisors do not need to approve changes but students are strongly encouraged to discuss any changes with them in advance. Students must accept responsibility for any registration changes made without advisor consultation.

c. Once the semester begins, students have one week to add/drop classes. During this week all add/drops must be done in person at the Registrar’s Office.

5. Closed Classes and Other Authorizations

a. If a student wishes to pursue getting into a closed class, he or she must obtain all the necessary approvals on the Authorization Form, available on the Registrar’s Office website. All procedural information is included on that form.

b. The Authorization Form may also be used to seek approval for courses where an instructor’s permission is required, where there is a time conflict with another class, or when the student does not have the required prerequisite(s) to enter the course.

6. Other Registration Approvals

a. Some classes require special forms to register and cannot be completed on the web (e.g. Internships, Independent Studies, Metroversity courses). Forms for these courses are available at the Registrar’s Office.

b. Students wishing to pursue a credit overload must obtain approval using the Credit Overload Form, available on the Registrar’s Office website.
